How to Do 3-Way Matching in QuickBooks Online

By the BillsLinked team · Last updated 28 October 2026

QuickBooks Online doesn't do 3-way matching for you. On the Plus and Advanced plans you can create purchase orders and, since 2026, receive goods against them with an optional item receipt. But QuickBooks Online doesn't compare the PO, the receipt and the vendor's bill, or flag a difference: someone has to check them by eye. To 3-way match, you need that comparison, done by hand or by an AP tool that matches all three before the bill is created.

What is 3-way matching?

3-way matching checks three documents before you approve a vendor invoice:

  1. Purchase order (PO): what you ordered, how many, and at what price.
  2. Goods receipt: what actually arrived.
  3. Vendor invoice: what the vendor is billing you for.

If all three agree, within the tolerance you allow, the invoice can be approved. If they don't, someone reviews the difference before the bill is posted. 2-way matching checks only the PO and the invoice: it confirms the price, but not that the goods were delivered. For a fuller comparison, see 2-way vs 3-way invoice matching.

What does QuickBooks Online do with purchase orders?

QuickBooks Online lets you create purchase orders and link them to a bill when the vendor's invoice arrives. When you add a PO to a bill, QuickBooks Online copies the lines across and tracks which PO lines are open or closed. Purchase orders are available on QuickBooks Online Plus and Advanced, not on Simple Start or Essentials.

That covers part of a 2-way check: you can see the PO next to the bill. But the comparison is visual. QuickBooks Online does not flag a price or quantity difference against a tolerance you set.

Does QuickBooks Online have item receipts?

Yes, on Plus and Advanced, since early 2026. Item receipts let you record goods as received against a purchase order before the vendor's bill arrives; the bill is then linked to both. It's off by default, and switching it on has two side effects:

  • It can't be turned off. Once item receipts are on, Intuit doesn't let you switch back.
  • It changes your inventory accounting. Quantity on hand goes up when the item receipt is saved, not when the bill is entered, and the receipt posts to Inventory Asset and Accounts Payable.

Why isn't that 3-way matching?

Because nothing compares the three documents. Item receipts give you the receipt record, but QuickBooks Online doesn't check the billed quantity against the received quantity, or the billed price against the PO price, and it doesn't hold a bill that's out of line. Intuit's own guidance is to make sure the item receipt matches the PO and is linked to the right bill, which is a manual check. And if you're on Simple Start or Essentials, or haven't turned item receipts on, there's no receipt record in QuickBooks Online at all.

How do teams 3-way match with QuickBooks Online today?

Most small teams use one of these:

  • Item receipts plus a manual check (Plus and Advanced). Receive goods in QuickBooks Online, then compare the receipt to the bill before saving it. The records are in one place, but the comparison still depends on someone doing it.
  • Signed delivery notes. The person who receives the goods signs the delivery note and the AP team attaches it to the bill. It's quick to set up, but the comparison is manual and easy to skip when the team is busy.
  • A receiving spreadsheet. The warehouse logs PO number, item and quantity received. AP looks up each line before entering the bill. It works at low volume, but the spreadsheet drifts out of date and isn't linked to the PO.
  • An AP tool in front of QuickBooks Online. Receipts are recorded against the synced PO, the match runs before the bill exists, and only approved invoices reach QuickBooks Online.

The first three hold up while volume is low and the same person does AP every month. They tend to slip at quarter-end, or when that person is on leave.

Example: a short delivery that 2-way matching misses

You order 100 steel sheets at $213.00 each from Northwind Steel (PO-NW-0142, $21,300.00). The delivery arrives short: the warehouse counts 92 sheets and signs for 92. A week later, Northwind's invoice INV-88412 arrives for all 100, probably raised from the order rather than the delivery.

POReceivedInvoiced
Quantity10092100
Unit price$213.00—$213.00
Amount$21,300.00$19,596.00$21,300.00
  • 2-way match (PO vs invoice): passes. Quantity and price agree with the PO.
  • 3-way match (PO vs receipt vs invoice): fails. 8 sheets are billed but weren't received, worth $1,704.00.

In QuickBooks Online alone, this bill can be entered and paid in full unless someone compares it with the delivery note or item receipt. With a 3-way match, it is held as a variance until the vendor sends a credit note or the remaining 8 sheets arrive and are received.

Sample data for illustration.

How to set up 3-way matching for QuickBooks Online

Whatever tool you use, the steps are the same:

  1. Use purchase orders for goods. No PO means nothing to match against. Make raising a PO the rule for physical purchases.
  2. Decide who records receipts. Usually whoever receives the delivery: warehouse, store or operations. Receipts need to be recorded on the day goods arrive.
  3. Record each receipt against its PO. Note the quantity actually received, not the quantity on the delivery note.
  4. Set a tolerance. Decide how much difference you'll accept, as a percentage. 0% means only an exact match passes. Start strict and loosen it only if most of what gets flagged turns out to be rounding.
  5. Match before the bill is posted. Compare PO, receipt and invoice when the invoice arrives. Send variances back for review instead of approving them.
  6. Post only matched or approved bills to QuickBooks Online. That keeps unchecked bills out of your books and out of your payment run.

How BillsLinked handles 3-way matching for QuickBooks Online

BillsLinked connects to your QuickBooks Online company through Intuit's sign-in and syncs your purchase orders and chart of accounts.

  • Receipts you already record in QuickBooks Online sync automatically. If an item receipt is linked to a PO in QuickBooks Online, BillsLinked brings it in, so there's nothing to enter twice.
  • No receipts in QuickBooks Online? Your team creates a purchase receipt in BillsLinked and links it to the synced PO.
  • Partial deliveries are covered. One PO can have several receipts, so the remaining 8 sheets in the example above can be received later against the same PO.

When the invoice arrives, BillsLinked uses what exists:

  • Invoice + PO + receipt → 3-way matching.
  • Invoice + PO, no receipt → 2-way matching. If you ask for a 3-way match, BillsLinked tells you no receipt was found instead of quietly passing the invoice.

Matching runs when a user reviews the invoice and selects Match Invoice. You set the tolerance. Results show as Matched, Variance or, if you've turned on auto-approval, Matched – Auto Approved. Approved invoices are exported to QuickBooks Online as draft bills, either when a user selects Export or automatically if you turn on Auto-Export. Your team then reviews and posts the bill in QuickBooks Online.

Frequently asked

3-way matching in QuickBooks Online: questions

Does QuickBooks Online have 3-way matching?

Not automatic 3-way matching. Plus and Advanced have purchase orders and optional item receipts, but QuickBooks Online doesn't compare them with the bill or flag differences. That check is manual unless you use an AP tool.

Why do invoices fail a 3-way match when nothing is wrong?

Usually timing. The invoice arrives before anyone has recorded the receipt, or the vendor bills a partial delivery against the full PO quantity. Freight and rounding differences are the next most common cause. A clear receiving routine fixes most of the first; a sensible tolerance handles the rest.

Do I need QuickBooks Online Plus or Advanced for 3-way matching?

You need purchase orders, and those are available on Plus and Advanced. Without POs, there is nothing to match the invoice against.

Should I 3-way match service invoices?

Usually not. Services don't have a delivery to count, so 2-way matching against the PO, or an approval step, is the normal control. Use 3-way matching for physical goods.

What happens if the receipt hasn't been recorded yet?

Hold the invoice. Approving it without the receipt check removes the protection 3-way matching is meant to give. Record the receipt when goods arrive, then match again.
